Bates stamping, also known as Bates numbering, Bates labeling, Bates coding or Bates branding, is a practical necessity in the discovery process and beyond. Originally, Bates stamps were produced by physically stamping documents, traditionally in the lower right corner, by hand, then later by machine. Essentially, by assigning to each page of a collection of documents a 3-letter prefix or suffix followed by a unique, sequential 6-digit code, everyone in the war room with a copy of the documents can follow your line of questioning, better understanding your reasoning, alongside the corresponding documents. Time wasted trying to figure out which document is being referenced and flipping through pages to find it is a thing of the past. Avoidable misunderstandings are obsolete. The process is simple enough for most to Bates stamp a single document, however, a high volume of documents with countless pages each is better left to a professional to do for you, saving your paralegal time so they may assist you in other ways as you prepare for oral argument and examining witnesses. Unsure if you need a courtesy copy? Unable to get through to the court on the
phone or via email to confirm? As digital as our lives have become in recent years,
even in an e-filing world, the court copy is a courtesy that remains to be practiced
as many judges still prefer them. You should always remain prepared with your
copies for the court. You may need to provide copies for the judge, the attorney
general, guardian ad litem or whomever the parties involved in the matter. Every
judge has their own specifications for the courtesy copy(ies), down to the bind of
the pages of a document.
Legal documents can be bound in a number of ways for a myriad of functions.
Courts are notorious for their particularity of precisely how briefs, appendices and
other legal papers are to be presented, with each court demanding you meet its
own requirements. If you submit an inadequately bound brief that will not lie flat or
hold up to the manhandling it may receive moving through the judiciary process, it
surely will not be to the advantage of your case or your relationship to that judge.

Each binding method has its own pros and cons. Here is how they work, as well as

Created specifically for the legal industry due to its permanent and tamper-proof bind, Velo binding is the most secure of all binding methods and it serves well for large books fitting up to 750 pages in a single bind! In a Velo-bound book, there is a set of heat-sealed, hard plastic binding strips which permanently locks in place each page and the only way pages can be removed is to rip them out. Just as well, this kind of bind offers a sleek, professional look. With the Velo bind, professional and attractive results are easily attained every time. And as an added bonus, this kind of bind is relatively easy to mail and file. However, there are no last minute changes for this kind of book.
The GBC Pro-Click bind is a fast and innovative way to secure your pages. This bind can support editing and also works with the standard 3-hole punch pattern. Binds like these are easy to use because they snap closed and allow swift changes to be made even while on the move. But of course, with the allowance of editing comes the fact that it is not tamper-proof. As well, these binds are not intended to hold more than 110 pages in its largest size.
Twin-loop, double-loop, double-o or duo-wire binding, otherwise known as Wire- O, is a traditional method of binding that utilizes an uninterrupted hinge of double wire loops to fasten pages together. Wire-O binding is intended to secure the pages such that they cannot be modified without unbinding the entire book. Books bound this way are able to lie flat and its pages can turn a full 360°. Bear in mind that this bind has a maximum sheet capacity of 120 sheets.
Similar to the actual permanence of the Velo bind or the virtual permanence of the Wire-O bind, the classic spiral coil bind offers a degree of permanence as well, but with flexible aspects. Again, like Wire-O, spiral binds can allow pages to lie flat and turn a full 360°. Its spine is also extremely malleable compared to the rigid GBC and can bind up to 265 pages.
The classic 3-ring binder is not just a relic of your old school days. It is also a staple of the legal profession when documents need to be easily added or substituted, as is often the case with last minute exhibit binders. These binds offer no sense of permanence whatsoever, but the ease of a manual open and close along with most of our familiarity with it, makes the 3-ring bind a choice we all know and love. Available in almost any size you might need, its largest size can hold upwards of 950 sheets. This bind is not ideal for legal briefs or documents of the like that would be best to have lie flat, opened fully without flipping closed on its own.

Far more often than you might think, machines that scan pages for copying will scan black & white or grayscale pages and register them as color. This might deliver an appearance other than that intended and will certainly cost substantially more to copy or duplicate (generally over 3 times the cost for color per page in this industry). Pinnacle Discovery Solutions will never shortchange or take advantage of you. Here we review individual pages and implement what we call SmartColor to correctly identify and duplicate pages in their authentic color or otherwise. Thanks to our SmartColor process, Pinnacle will never overcharge you for color copies where black & white is perfectly applicable.
